We currently have an opening for an Administrative Assistant within our LED Components group. This position will be stationed at our headquarters in Raleigh/Durham, NC.
Summary:
This position is part of the administrative team with primary support responsibility to the VP/GM - Components along with other key members of the Components team. The position reports directly to the VP – Administration but takes technical day-to-day direction from the VP/GM - Components.
Responsibilities:
• Advanced administrative support to the VP/GM – Components and other key members of the Components team. This includes preparation of correspondence, PowerPoint presentations, Excel spreadsheets, Word documents, expense report processing, meeting/event coordination, greeting external guests, calendar management, contract management, invoice processing, budget coordination, filing and general office management. Also responsible for making daily shipments to other locations.
• Travel management including working with the Travel Manager and Egencia on complex international and domestic travel logistics and preparation of expense reports connected with travel which includes calculating exchange rates for international. Also includes processing of Visas and Passports as required.
• Meeting coordination – including extensive logistical support. This includes ordering meals for both external and internal meetings.
• Coordinate logistics with external visitors, customers and potential candidates for employment. Logistics includes coordination of meeting, travel and lodging arrangements.
• Efficient and effective processing of invoicing against contract terms. Responsible for order management of supplies and general office management as requested.
• Contact management including scanning business cards and setting up a system for easy retrieval of contact information.
• Budget coordination and oversight including tracking of expenses and assistance with creating and managing the fiscal year budget process.
• Calendar and file management including tracking emergent meeting requests and rescheduling calendars to meet business requirements.
• Event planning – including coordination of external customer visits and associated logistics.
• Backup for receptionist position, on a rotation basis which includes greeting external visitors, answering phones on the switchboard and coordinating meeting room logistics.
• Other administrative duties as assigned by the VP – Administration including, but not limited to, providing back up administrative support to other areas of the company.
Qualifications/Education:
• Experience in administrative support roles, preferably in a corporate environment

• Advanced skills in Microsoft Outlook, Excel, Word and PowerPoint
• High school diploma requires, AS or BS degree preferred
